How do I take Microsoft Outlook Contact info and import it to
One Step?
Answer:
The Utilities (Tools) section lets you compact
the database, set a password to protect your One Step database
and import/export data.

One Step has its own import format for each data section of the
program (i.e., Sales Contacts, Resources, for example). Please
reference the "Import Data", "Rules To Follow For Import", and
"Order Of Data For Import Formats" sections in One Step by
pressing the Help button on the Main Menu and scrolling to those
sections.
The following procedure may be used to create a One Step import
file from the Microsoft Outlook Contacts list:
1. Launch Microsoft Outlook program.
2. Go to the Contacts area.
3. From the top windows menu, select File, then
Import/Export.
4. Select "Export To File".
5. From directory tree, select "Contacts".
6. Select "Comma separated values (DOS)".
7. Enter path/name of file to export to.
8. Press Next button to go to Map Custom Fields. In
Map Custom Fields, you will be telling the export
utility of Outlook which order you want the data
in for the export file.
9. Press Clear Fields button at bottom of right
fields display to clear the export order area.
10. Referencing the One Step Help "Order Of Data For Import
Formats"
section for the data you want to import, drag the
data fields one at a time from the left Contacts fields
list in the order as specified for One Step. For
fields that do not match One Step either look for ones of
similar content or disregard them for now.
11. After moving all desired fields to the right fields list,
press the Finish button and Ok button to start the
export operation.
12. After the export file has been created, use a text editor to
modify the export file
so that it conforms to the rules of One Step
Import files (see One Step Help "Rules To Follow For
Import", and "Order Of Data For Import Formats"
sections).
Note the following in particular:
+ Blank fields created from Microsoft Contacts export are in the
format ,, and must be in the format ,"", for
One Step.
+ Add other blank fields as required from the One Step formats
("Order Of Data For Import Formats"
section) to match the number of fields required for the One Step
import file.
+ For Contacts/Resources data, each line of data fields has 24
fields. The 24th field MUST have either
"Contacts" or "Resources" only in it in order to see the program
data.
13. After editing the export file, import the export file into
One Step using the Tools/Import Data function.
14. After import is complete, please review the new program data
you imported for accuracy.
Note: Other programs (such as Filemaker, for example) most
likely have similar export operations as the
one described above for
Microsoft Outlook Contacts. Refer to those programs' help
information for
exporting of their data.
